We only collect what we need to respond to you and to deliver our services.
When you contact us through our website form, by email or by telephone:
- Your name
- Your email address
- Your telephone number, if you provide it
- Your company or organisation name
- The details of your enquiry, including site type, location and dates
When you visit this website, our hosting provider may automatically record your IP address, browser type and the pages you view, for security and performance purposes.
If you apply to work with us, we collect the information necessary for screening and licence verification, including your SIA licence number, employment history and right-to-work documentation.
Why We Use It
We process your personal data on the following lawful bases:
- Legitimate interests — responding to enquiries about our services and maintaining our business records.
- Performance of a contract — where you engage us, to plan, staff and deliver the security services agreed.
- Legal obligation — where we are required to retain records, for example in relation to licensing, employment or incident reporting.
We do not use your data for automated decision-making or profiling.
Who We Share It With
We do not sell your personal data, and we do not share it for marketing purposes.
We may share limited information where it is necessary to deliver a service or meet a legal duty:
- With officers assigned to your site, where operationally necessary to carry out the assignment.
- With our IT, hosting and email providers, who process data on our behalf under contract.
- With the Security Industry Authority, insurers, or law enforcement where we are legally required or permitted to do so.
How Long We Keep It
We keep personal data only for as long as there is a clear reason to.
- Enquiries that do not proceed: up to 12 months, then deleted.
- Client records and contracts: for the duration of the engagement and 6 years afterwards, to meet our legal and insurance obligations.
- Incident reports: retained in line with our contractual and legal duties.
- Recruitment records for unsuccessful applicants: up to 12 months.
How We Keep It Secure
Access to personal data is limited to those who need it to do their job. Our systems are password protected, and any personal data we hold on paper is kept securely and destroyed when no longer needed.
Officers are briefed on confidentiality as part of their induction, and are required to handle client information appropriately both during and after an assignment.
